Job Introduction:

Reporting to the Global Procurement Data and Information Manager, the role for providing management information reporting and support to the Global Procurement team.

Role Responsibility:

  • Reporting into the Global Procurement Data and Information Manager.
  • Responsible for maintaining and administering the global benefits tracking tool.
  • Management of Supplier PSL Compliance/Temp Labour/Travel Dashboards
  • Exploit benefits tracking tool functionality to create data dashboards, graphs and visualisations. Also, manage data capture and sign off process aligned to G4S’s budgeting tool CXO.
  • Drive and enforce compliance to procurement benefits policy.
  • Manage and deliver all procurement data requests.
  • Produce management reporting packs and creating presentations as requested.   
  • Manage the relationship with G4S Spend Analytics supplier to execute the agreed data refreshes. This includes: data gathering, manipulation, validation and quality control.
  • Identify areas to increase efficiency and automation of processes.
  • Liaise with internal and external clients to fully understand data content, document detailed business requirements and create reporting solutions.
  • Provide support in the review and standardisation of processes, policies and governance.
  • Manage intranet procurement site content and related business communications.
  • Support the Javelin mobilisation program and manage the repository of Purchase to Pay documentation.
  • General document management control in line with G4S minimum financial controls framework.

Key Accountabilities

  • Manage and deliver all reporting requests for the global reporting team.
  • Maintain the benefits tracking system, manage upgrades and new releases with the supplier and implement and communicate changes accordingly
  • Provide training on all procurement related information tools to existing and new users as requested
  • Manage the end to end data refresh cycles for G4S’s Spend Analytics tool.
  • Challenge business unit/countries when spend data is not delivered in time and/or data quality is not adequate.
  • Establish and manage clear SLA’s for interacting with suppliers proving procurement tools to G4S in line with business requirements.

The Ideal Candidate:

  • Degree level qualification or equivalent
  • Expert Microsoft Office user – especially Excel.
  • Formal purchasing qualification preferable.
  • Project management preferable.
  • Knowledge of an ERP system i.e. Oracle/SAP preferable.
  • Demonstrable experience in a data analyst role, preferably within a FTSE 100 or equivalent global business.
  • Good financial management understanding and proven communication skills (both verbal and written).
  • Experienced in the manipulation of complex large sets of data
  • Utilisation of eProcurement, eAuction and on line Catalogue Ordering Systems, such as Oracle and SAP/Ariba preferable.
  • Excellent numerical and analytical skills.
  • Expert user of Microsoft Excel and familiarity with other relational databases preferred. 
  • Excellent attention to detail, methodical and focused.
  • Excellent written & verbal communication skills.
  • Ability to understand complex data sets and interpret/convert business requirements into solutions.
  • Confident in challenging others, whilst building professional relationships.
  • Self-starter and self-motivated with a desire to succeed.
  • Capacity to develop and document procedures and workflows
  • Able to carry out data quality control and validation
  • Able to produce clear graphical representations and data visualisations.
