Job Introduction:
G4S Facilities Management works within the Churchill Hospital delivering services to support the smooth running of the site. Our services include a service helpdesk, portering, cleaning, catering and maintenance.
We are looking for an experienced administrator to join our team to provide administrative support to the managers on site. Working as part of an administration team, this role focuses on ordering and finance processes.
Role Responsibility:
Key responsibilities include:
- Typing and distribution of reports, letters, tables, minutes, papers, specifications etc. Attendance at meetings for note taking will occasionally be required.
- Schedule appointments, meetings and training sessions as required and assisting the Managers with the preparation of material for these. This is to include briefing papers, agendas and presentation documents.
- To receive incoming calls and visitors, refer to Managers where necessary and act as focal point and filter for all calls and visitors.
- To provide admin support to the Human Resources Adviser.
- Collating, producing and distributing information and reports including the data inputs for the monthly performance report so that individuals and departments receive accurate information and can make informed decisions.
- To carry out general office duties including collecting, opening and distribution of mail, photocopying and operating the facsimile machine.
- To implement, update and maintain a central filing system as required to support the service delivery requirements of the FM services. This will include important areas such as Health & Safety records and document control.
- Record and maintain all Facilities management and staff leave and sickness.
- Any reasonable duties as agreed with the Contract Director
