Job Introduction:

An exciting opportunity has arisen for an Executive Personal Assistant to be based at Sutton Park House in Sutton, Surrey.

The successful candidate will be responsible for providing a wide range of administrative and general support duties of a highly responsible and confidential nature to three Directors.

Role Responsibility:

  • Managing and coordinating complex and frequently changing diaries
  • Scheduling meetings, interviews, CDR’s, 1:1’s etc with both internal and external parties. Working proactively to prevent diary clashes and ensuring all commitments can be professionally and efficiently achieved.
  • Receiving and screening telephone calls, post and visitors. Handling all routine calls and correspondence and follow up on pending matters.
  • Responsibility for booking national and international travel.
  • Processing expenses on behalf of Directors.
  • Expediting the flow of legal documentation through the office for signature.
  • Coordinating and managing events from large scale quarterly conferences to small scale fine dining or strategy events.
  • Administering PO’s and pay invoices using in-house JDE finance system.
  • Undertaking ad hoc research and produce appropriate reports as requested gathering, summarising and analysing data.
  • Supporting fellow team members from time to time on projects, documents, reports and events. For example, an award ceremony at Wimbledon.

The Ideal Candidate:

  • Be a self-starter with creative ideas who will initiate follow up action and add value to the role.
  • A calm, confident and well-presented Director/board level PA with experience of a busy office who is looking for a highly rewarding yet challenging role.
  • Excellent all round PA and office management skills including MS Office package, time management, supplier management and previous project co-ordination activities.
  • Requires a person with high level of integrity due to frequency of senior level contacts and exposure to confidential data.
  • Ablity to work on own initiative and influence senior internal and external contacts.
  • Excellent written and verbal communication skills with a good attention to detail.
  • A sense of humour and a team player.
  • 5 years checkable work history.
  • Unrestricted right to work in the UK/EU.
  • Fluent written and spoken English.
